Applying for a Property with Haines

We keep our application process straightforward. Have your documents ready before you apply and we can usually process a complete application within one working day.

What you'll need

We require the following from each adult applicant. Incomplete applications can't be processed until every item is received.

Photo identification

A copy of your current passport or driving licence. If you are a non-EEA national, please also include your Irish Residence Permit (IRP) or valid work or study permission.

PPS number

Your Personal Public Service (PPS) number.

Why we ask: every tenancy must be registered with the Residential Tenancies Board (RTB), and the RTB requires each tenant's PPS number as part of registration. We use it for this purpose only. Recently arrived in Ireland and awaiting a PPS number? Let us know — it won't stop your application, but you'll need it before the tenancy is registered.

Proof of current address

A utility bill, bank statement, or official letter dated within the last three months showing your name and current address.

Employment reference

A letter from your employer on company letterhead confirming your position, start date, salary, and whether your employment is permanent, fixed-term, or probationary.

Self-employed? Provide a letter from your accountant confirming your income, or your most recent Notice of Assessment from Revenue.

Proof of income

Your three most recent payslips. Students and applicants without employment income should provide evidence of funding — for example a guarantor letter, proof of savings, or confirmation of a scholarship or stipend.

Landlord reference

A letter from your current or most recent landlord or managing agent confirming the address, the duration of your tenancy, that rent was paid on time, and that the property was kept in good condition. Include a contact number or email so we can verify it.

Renting for the first time? We assess these applications on their own merits — a guarantor or additional financial reference may be requested instead.

A note on references

We contact referees directly to verify all references. Please make sure the contact details you provide are current and that your referees are expecting to hear from us — this is the single most common cause of delay in processing applications.

How your documents are stored

We take the security of your personal data seriously.

  • All documents are held on secure, encrypted systems with access restricted to the staff processing your application.
  • Your data is processed in line with the General Data Protection Regulation (GDPR) and the Data Protection Acts 1988–2018. We collect only what we need to assess your application and register your tenancy.
  • Unsuccessful applications are deleted once the property has been let, other than where we are required to retain records for legal or regulatory reasons.
  • We never share your documents with third parties except where required to set up your tenancy — for example, registering with the RTB — or where required by law.
  • Your PPS number is used solely for RTB tenancy registration and for no other purpose.

What happens next

  2. We verify your referencesUsually within one working day of receiving a complete file.
  3. The landlord makes a decisionIf successful, we'll be in touch to arrange the deposit, first month's rent, and lease signing.
  4. If unsuccessfulWe'll let you know, and your documents will be securely deleted.
